What is Personal Information and Why Do We Collect It?

Personal Information is information or an opinion that identifies an individual. Examples of Personal Information we collect include: names, addresses, email addresses, phone and facsimile numbers, and business or property details relevant to the services we provide.

As a provider of drone photography and videography services, we may also hold records of project locations, client property addresses, and site-specific details required to plan and conduct safe aerial operations in compliance with aviation regulations.

This Personal Information is obtained through many channels, including:

  • Media, publications, and referrals from third parties

  • Site inspection visits and pre-flight assessment records

We do not guarantee the privacy practices of authorised third-party websites linked from our platforms. We encourage you to review the privacy policies of any third-party services you access.

Why We Collect Your Information

We collect your Personal Information for the primary purpose of providing our professional drone photography and videography services to you. This includes, but is not limited to:

  • Scheduling and conducting aerial photography or videography shoots
  • Delivering project files, edited media, and post-production assets
  • Conducting pre-flight planning, location assessments, and risk analyses
  • Communicating project updates, timelines, and deliverables
  • Issuing invoices, processing payments, and maintaining financial records
  • Sending relevant service updates, portfolio showcases, and promotional materials

We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure.

You may unsubscribe from our mailing or marketing lists at any time by contacting us in writing at [email protected] or by using the unsubscribe link in any marketing communication.

04 — Sensitive Data

Sensitive Information

Sensitive information is defined in the Privacy Act to include information or opinion about an individual's racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record, or health information.

Sensitive information will be used by us only:

  1. For the primary purpose for which it was obtained
  2. For a secondary purpose that is directly related to the primary purpose
  3. With your consent; or where required or authorised by law

In the normal course of providing drone photography and videography services, we do not collect sensitive personal information. Should any sensitive information be disclosed incidentally, it will be handled strictly in accordance with the APPs.

05 — Aerial Operations

Drone Operations, Aerial Footage & Location Data

As a professional drone photography and videography operator, View Complete collects and processes certain information specific to the nature of aerial services:

Flight & Location Records

Collected as part of safe drone operations
  • Property and site addresses — including GPS coordinates used for pre-flight planning and airspace assessments
  • Shoot location details — property descriptions, access instructions, and site-specific notes provided by you
  • Flight logs — records of take-off and landing locations, altitude, and flight duration, maintained as required by CASA regulations
  • Aerial imagery and video — footage captured during your commissioned project, which may incidentally capture surroundings including neighbouring properties, roads, or public areas

Aerial footage delivered to you as part of your project is for your personal or commercial use as agreed at the time of booking. View Complete may retain footage samples for portfolio, marketing, and demonstration purposes unless you specifically request otherwise at the time of booking.

We take all reasonable precautions to ensure that aerial operations do not capture or retain imagery of individuals or private spaces beyond what is necessary for the commissioned project.

06 — Regulatory Compliance

CASA Compliance & Legal Obligations

Civil Aviation Safety Authority (CASA)

Australia's national aviation regulator

View Complete is a licensed Remotely Piloted Aircraft (RPA) operator registered with the Civil Aviation Safety Authority (CASA) of Australia, operating in full compliance with the Civil Aviation Safety Regulations 1998 (CASR), specifically Part 101 — Unmanned Aircraft and Rockets, and the relevant CASA Standard Operating Conditions (SOCs).

As a CASA-licensed operator, View Complete is subject to specific legal obligations that may require us to collect, retain, or disclose certain operational records and personal information, including:

  • Flight and operational records — CASA regulations require licensed RPA operators to maintain flight logs and safety records for a prescribed period. These records may include location data, date and time of operations, and aircraft registration details.
  • Airspace authorisations — When operating in controlled or restricted airspace (e.g., within 5.5km of a controlled aerodrome, near flight restriction zones, or in CASA-issued controlled airspace), View Complete may be required to submit operational details to CASA or relevant Air Traffic Control (ATC) authorities. This may involve sharing location and timing information relevant to your project.
  • Incident and accident reporting — Under CASA regulations, certain aviation incidents or accidents must be reported to CASA and, where applicable, the Australian Transport Safety Bureau (ATSB). In such circumstances, operational data including project location information may be disclosed to these authorities.
  • Insurance requirements — View Complete maintains public and aviation liability insurance ($1.5M per occurrence) through Cover Drone (coverdrone.com/au), a specialist drone insurance provider. Cover Drone's policy requires that all operations are conducted in compliance with CASA regulations — and as a condition of any claim, may require access to our flight logs, risk assessments, operational records, and project-specific details. In the event of an insurance claim, relevant information pertaining to the affected engagement may be shared with Cover Drone. Additionally, Cover Drone's policy includes data breach and privacy incident coverage, which provides an added layer of protection for client information in the unlikely event of a data security incident.
  • CASA audits and investigations — CASA holds the authority to audit licensed operators and request operational records at any time. View Complete will cooperate fully with any such audit or investigation as required by law.

Your awareness: By engaging View Complete for aerial services, you acknowledge that certain project-related information (including location and operational details) may be shared with CASA, ATC authorities, or insurance providers as required by Australian aviation law. This disclosure is limited strictly to what is legally necessary and is not within the discretion of View Complete to withhold.

View Complete operates strictly within CASA-mandated standard operating conditions, including maintaining visual line of sight (VLOS), adhering to altitude restrictions, respecting no-fly zones, and complying with all applicable airspace authorisations. All pilots hold current ReOC (Remotely Piloted Aircraft Operator's Certificate) and RePL (Remote Pilot Licence) accreditations where required.

Third Parties

Where reasonable and practicable to do so, we will collect your Personal Information only from you directly. However, in some circumstances we may receive information from third parties, including:

  • Property managers or real estate agents acting on behalf of a client
  • Construction project managers or site supervisors coordinating access
  • Event coordinators or wedding planners who engage us on your behalf
  • Referral partners or collaborative service providers

In such cases, we will take reasonable steps to ensure you are made aware of the information provided to us by the third party, and to handle it in accordance with this Privacy Policy and the Australian Privacy Principles.

Disclosure of Personal Information

Your Personal Information may be disclosed in a number of circumstances, including:

  • To third parties where you have provided explicit consent to the use or disclosure
  • Where required or authorised by law (including CASA, ATSB, or other regulatory authorities)
  • To Cover Drone (our specialist drone insurance provider) in connection with our public and aviation liability policy — only operational records and project-specific details relevant to an active claim or audit
  • To post-production partners or subcontractors engaged to assist in delivering your project (under strict confidentiality obligations)
  • To cloud storage and project management platforms used to deliver and archive your footage

We will not sell, trade, or rent your Personal Information to third parties for their independent marketing purposes without your express consent.

09 — Security

Security of Personal Information

Your Personal Information is stored in a manner that reasonably protects it from misuse, loss, and unauthorised access, modification, or disclosure. We take this obligation seriously, especially given the sensitive nature of project location data, property access information, and client business details that may be associated with drone operations.

Our security measures include:

  • Encrypted storage of digital files and client records
  • Password-protected client portals and project delivery platforms
  • Restricted access to client information on a need-to-know basis among our team
  • Secure disposal of physical documents and records when no longer required

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify it. However, most Personal Information and project records will be stored in client files which will be retained by us for a minimum of 7 years, in line with Australian tax and legal record-keeping requirements and CASA operational log obligations.

10 — Your Rights

Access to Your Personal Information

You may access the Personal Information we hold about you, and request that it be updated or corrected, subject to certain exceptions permitted under the Privacy Act. To request access, please contact us in writing using the details below.

View Complete will not charge any fee for your access request, but may charge a reasonable administrative fee for providing a physical or digital copy of your Personal Information where significant effort is required.

In order to protect your Personal Information and prevent unauthorised access, we may require proof of identity before releasing the requested information.

11 — Data Quality

Maintaining the Quality of Your Personal Information

It is important to us that the Personal Information we hold is accurate, complete, and up to date. We will take reasonable steps to ensure the quality of your information, particularly where it affects our ability to deliver services or to conduct safe, compliant aerial operations.

If you find that the information we hold is not current or is inaccurate, please advise us as soon as practicable so we can update our records and continue to provide quality services to you.
